Clear assignments with complete information

A work order that says “HVAC not working — third floor” is not enough information. Which unit? Has it been worked on before? What’s the service history? Is there a lockout/tagout procedure on file? A technician who arrives without that context either spends time tracking it down or guesses and starts working.

When a technician is assigned a work order for a rooftop HVAC unit, they see the unit’s make, model, serial number, prior work order history, and any attached service manuals or spec sheets before they climb to the roof. If the last three work orders on that unit all involved the same refrigerant issue, they know to check that first.

When a technician closes a work order, their queue updates immediately. They see what’s next without calling the supervisor. Priority order is built into the queue — high-priority items show at the top. If a new emergency is assigned while they’re mid-task, it appears in their queue automatically.

QR codes on every asset

Walk up to a piece of equipment, scan the QR code on the asset tag, and the asset record opens on your phone. No searching by name, no serial number lookup, no radio call to ask which unit number it is. The scan opens the asset — its specs, its current open work orders, its full history — in a browser window. No app to install.

TeamWork generates a printable QR code for every asset. Facilities teams print and laminate them, attach them to equipment, and from that point forward any technician with a phone can pull up the full record in seconds. New technicians get up to speed faster because the information they need is literally on the equipment.

Step-by-step checklists that can’t be skipped

A PM work order for a cooling tower inspection doesn’t leave room for interpretation. There are specific items that need to be checked, measured, and recorded — drift eliminators, basin water level, sump condition, biological treatment concentration. If a technician completes the inspection but doesn’t record the results, the record is incomplete and the compliance value is lost.

TeamWork attaches checklists to work orders that technicians complete step by step on any device. Each item is checked off individually. Required fields can be set to block work order closure until they’re completed. When the technician closes the work order, the completed checklist is permanently attached to the record. The supervisor and the facility director can see exactly what was found on each inspection.

Logging labor and parts from the field

At the end of a repair, a technician typically has to remember how long they spent and what parts they used and report it to someone who enters it into a system. That hand-off loses accuracy, takes time, and creates a gap between when the work happened and when it’s recorded.

In TeamWork, the technician logs their labor time and parts used directly on the work order from their phone. Parts are looked up by name or part number from the inventory. TeamWork is web-based and mobile-responsive. There is no separate app to download or keep updated. Any smartphone browser — iOS Safari, Android Chrome — runs the full interface. Technicians open their queue, tap a work order, work through the checklist, log parts and time, take photos, and close it out. The whole cycle from open to close happens on the same device they carry.

QR scanning works through the device camera — scan an asset tag and the asset page opens in the browser. No QR scanner app needed beyond what’s built into the camera app.


Frequently asked questions

Do I need an account to scan a QR code and see an asset? Scanning a QR code on an asset tag takes you to the asset record. Viewing basic asset information (specs, location) may be available without login depending on your organization’s settings. Viewing work order history and logging new work requires a technician login.

What if I don’t have cell coverage while I’m on-site? TeamWork requires an internet connection for real-time sync. In areas with poor coverage, technicians note what was done and log it when connectivity is restored. An offline mode is on the product roadmap for future development.

Can I see work orders assigned to my whole shift, not just me personally? Depending on how your supervisor has set up assignments, you may see a shift queue or location-based queue in addition to your individual assignments. Supervisors control how work is assigned — to individuals or to a shared location/shift queue.
